Registration
We use Shiftboard.com to register and sign up our volunteers. If you need help walking through registration and sign up, please watch this video:

Volunteer registration/sign-up will end March 20, 2013, 5pm. Once closed, you are not allowed to sign-up under any circumstances. If you are unable to work your shift, please unconfirm on Shiftboard.
Only register as a GROUP if there are 5+ people. If less than, please register individually and sign up for the same shift. Due to limited shifts, groups are encouraged to sign up for Artist Relief.

Anyone wishing to volunteer for more than one shift is welcome to do so. However, you MUST remember to sign-in for each shift you work. We ask that volunteers report 15 minutes early for their scheduled shift(s). If you want to work multiple shifts that overlap, email me and I will approve it for you. The overlapping shifts must be in the same activity.

Downtown Loop (Theater District Parking)
Stop #1 - South side of Rusk between Bagby and Smith

Shuttles will begin at 9:00a.m. for volunteers. Shuttle service will be provided via full size buses (48-52 people.) Buses will make continuous round trips based on demand. Each location will have between 5 - 20 buses operating every 15 minutes.
HANDICAPPED PARKING
A limited number of handicapped spaces will be available at the festival site. Handicapped parking at our Memorial Park festival, when available, is located in the reserved VIP lot that is located less than 50 feet from the festival entrance. In addition we provide ADA shuttles from our remote parking lots. A state issued disabled parking permit will be required to be allowed to park in handicapped spaces.
Volunteer Check-in
Volunteer Check-In is located next to the entrance gate off South Picnic Lane next to VIP parking (Heart)
Volunteer Check-in/out Procedure
- Sign in with a Volunteer Committee Member at the individual or group check-in table.
- If you're under 18, you'll hand in the Waiver you brought with you. (You will not be able to volunteer if you do not turn in your waiver)
- If you're part of a large group of underage volunteers, we will check to make sure you have a chaperone 21 or older present for every 5 minors, and that ALL members of the group are present.
- Receive your Volunteer T-Shirt
- Receive your shift badge and assignment
- After completing your shift, return your badge to the Volunteer Check-in or Information Tent.
Volunteer Activities
Ticket Taker
Take admission tickets from patrons at the entrance gate. You will be given pocketed smocks and a box to place collected tickets. This position has direct exposure to sunlight. Please remember to bring a hat and sunscreen!
Greeters
Volunteers greet and hand out festival maps/programs as patrons enter the gate. This position has direct exposure to sunlight. Please remember to bring a hat and sunscreen!
Artist Relief
Provide relief to artists, e.g., hand out beverages, snacks, booth sit (when applicable). After checking in with Volunteer Check-in, you will check in with a committee member at the Artist Hospitality tent for specific assignments.
Festival Market Booth
You will be selling festival t-shirts, posters, and hats. Some basic training will be given at beginning of shift.
Patron Art Pick-Up
Volunteers will monitor artwork being held after purchase and assist with loading artwork into patron's vehicle. You must be 21 years old to work this position. More information will be provided to you after you check in.
Stage Runner
Assist with performances and performers at the Houston Arts Alliance Stage. Must be at least 18 years old. Must be able to lift heavy objects and have decent communication skills.
Creative Zone
Assist in our children’s arts and crafts area with one of the following Non-Profit Partners: Art League Houston, City Art Works, FotoFest, Houston Center for Photography, Lawndale Art Center, MECA, Museum of Fine Arts-Houston, MOCAH, Orange Show, Young Audiences Houston.
Artist Check-in
You will be helping at Artist Check-In to welcome our artists, pass out Artist Packets, answer questions and direct them to their booth locations for Move-In. (Volunteers must be 18 or older) Report to Joe McKinney/Steve Malashock/Sara Brown
Artist Load-in
Volunteers work designated zones within the overall festival footprint. You will assist artists find their booth locations, answer questions and assist with vehicle traffic control to keep Move-In running smoothly. Inline skaters encouraged to assist! Artist Load-out
Volunteers are needed to help monitor artist load-out. Volunteers will ensure that artists have disassembled their booths and moved them as much off the festival loop as possible. Once this is done, the volunteer will give the load-out pass to the artist once it has been completed so they may drive their vehicle into the festival to complete their loud-out. Report to Artist Hospitality tent after reporting to Volunteer Check-in.
Please note: Bayou City Art Festival reserves the right to assign volunteers to the area of greatest need at the time of volunteer check-in. Volunteers may also be moved to a different assignment during their shift depending on areas of need.
BCAF Volunteer Guidelines
We count on exceptional volunteers to help us host an amazing event for the Houston Community. Before you register, please read the following guidelines to keep in mind for your volunteer experience!
1. Arrive to your shift EARLY. We encourage volunteers to plan ahead for parking and traffic delays. We count on you as a volunteer to fulfill your commitment and be punctual.
2. Please stay for your ENTIRE shift. We rely on you to work a full shift so that all areas of the festival are covered at all times. If there is an emergency, please contact Community Relations Manager, Joe McKinney – (832) 387-9090, or a Volunteer Committee Member at check-in/hospitality tent.
3.Volunteers between the ages of 13-15 must volunteer with an Adult. One Adult for each and every 13-15 year old. There must also be an adult at least 21 years of age for every FIVE 16 and 17 year old. Children under the age of 12 cannot volunteer, but are admitted to the festival for $3.
4. Remember to bring a hat and sunscreen.
5. You must return your badge at the end of your shift to Volunteer Check-in or Volunteer Hospitality tent. You are welcome to stay and enjoy the festival once your shift ends, but you must return your badge first.
6. Additionally, we ask that you remove your Volunteer T-shirt once your shift ends. This is mainly to avoid confusion among our staff and artists to ensure that everyone wearing a Volunteer T-shirt is actually volunteering. There will be changing tents located at check-in and hospitality tent.
7. There will be water and snacks available at Volunteer Check-In and Volunteer Info Tent. There will also be Volunteer Committee Members monitoring the festival to make sure volunteers have relief when they need it.
8. Remember to keep in mind that volunteering at our festival requires a good amount of standing and moving. Please remember to wear the appropriate clothing to stay cool and comfortable.
9. Absolutely no drinking alcohol while on shift.
As an event, we always strive to make your volunteer experience as enjoyable as possible. We are always open to your feedback and strive to improve our program with each festival!
